1. About this policy

FLOWREN provides Payment Tracking and Booking software for businesses and their customers.

This policy explains how information is collected, used, shared and retained when you visit our website, use our products, make a booking or contact us.

Business address: New No. 252, Old No. 418-420, Ellaithottam Road, Peelamedu, Coimbatore, Tamil Nadu, India.

2. FLOWREN and the Business you use

A studio, academy, teacher, property operator or other service provider using FLOWREN is referred to as a “Business.”

The Business decides how to provide its underlying services and which customer or operational records it needs. FLOWREN processes information to provide the software and also handles its own account, billing, support and security activities.

Contact the Business about its classes, fees, customer communications or independently held records. Contact FLOWREN about our platform’s handling of information. Where a request involves both, we will help direct it appropriately.

3. Information we collect

Depending on the product and features used, we collect:

Business and account information

Names, email addresses, phone numbers, business details, authorised staff information and account settings.

Booking information

Customer name, WhatsApp number, selected class, branch, date, participant quantity, price, reservation status and approval or rejection details.

Pass and membership information

Purchased products, validity periods, available credits, redemptions, adjustments and associated booking records.

Payment-related information

Payment proofs, transaction references, payment-review records and information needed to reconcile payments.

For payments made to FLOWREN, this can also include billing names, addresses, subscription details and invoices.

Operational records

Member, tenant, batch, attendance and related records entered or imported by a Business where those features are available.

Where a Business uses photo import, this also includes its uploaded notebook or record image and the names, phone numbers, fees and other information visible in that image. Upload only the relevant part of the record. This photo-import function is separate from submitting a booking payment screenshot.

Support and enquiry information

Messages, contact details and relevant attachments supplied when requesting help or information.

Technical information

Browser and device information, website interactions, request logs and information needed to operate, troubleshoot and protect the service.

We aim to collect information relevant to the service being used. Do not submit unnecessary identity documents or unrelated personal records.

4. How we use information

We use information to:

  • Provide account access and product functionality.
  • Manage reservations, capacity, booking status and payment-proof review.
  • Administer passes, credits and eligible introductory offers.
  • Help Businesses maintain their operational records.
  • Process FLOWREN subscriptions, setup fees and invoices.
  • Respond to enquiries, complaints and support requests.
  • Investigate errors, fraud and unauthorised activity.
  • Understand website usage and improve the service.
  • Meet applicable legal and recordkeeping obligations.

Providing a WhatsApp number for a booking does not, by itself, authorise unrelated marketing.

5. Payments and screenshots

Payments to FLOWREN

Third-party payment providers, such as Razorpay, handle payment processing through their payment interfaces. FLOWREN receives the transaction and status information needed for billing and reconciliation.

Payments to a Business

In the direct-UPI workflow, the payment goes to the Business’s displayed payee. FLOWREN stores the submitted proof and related records so authorised reviewers can check the payment.

A screenshot may reveal names, UPI details, transaction references or other financial information. Upload only the relevant transaction evidence. Hide unrelated balances and transactions without concealing information necessary for verification.

Never upload or share a UPI PIN, OTP, bank password or full card credentials.

6. Who can access information

Relevant information may be available to:

  • The Business receiving the booking or managing the member record.
  • Its authorised administrators and staff, according to their permissions.
  • Authorised FLOWREN personnel who need access for support, billing, security or service operation.
  • Service providers needed to operate the platform.
  • Authorities or other recipients where disclosure is legally required.

Group bookings do not require unnecessary information about every participant. If you provide someone else’s information, you must have appropriate authority and tell them about the relevant processing.

Private booking-status and pass links may allow their holder to view associated information or use permitted functions. Keep these links confidential.

7. Service providers

FLOWREN uses external providers for functions including hosting, authentication, data storage, payment processing, billing email and website measurement.

Providers used for the relevant functions include:

  • Lovable: website hosting, delivery and associated technical traffic/performance information.
  • Supabase: backend, authentication and storage.
  • Razorpay: processing payments for FLOWREN’s own services.
  • Resend: submitting invoice emails.
  • Google Gemini: reading information from images when a Business chooses photo import.
  • Google Fonts: delivering website fonts; the font service receives the technical information needed to serve the request.

Photo-import images are sent to Google’s Gemini service for extraction. The Business reviews the extracted entries before confirming them for its records. Do not upload unrelated records or unnecessary sensitive information.

Google Analytics and Google Tag Manager were integrated previously. Optional measurement through those integrations is paused in this release. We will update the relevant notice before introducing materially different processing.

This release also restricts hosting-injected page-measurement scripts from running through its script-loading policy. Hosting providers still process technical information needed to deliver, operate and protect the service.

Providers may process information in India or other countries under the applicable arrangements and legal requirements. FLOWREN does not claim that every category of information remains in India.

We do not sell or rent personal information.

8. Cookies, browser storage and analytics

FLOWREN uses browser storage for functions such as maintaining authorised sessions and helping customers recover an unfinished booking.

Clearing this storage may interrupt sign-in or booking recovery. Take care when using shared devices.

Optional Google Analytics and Google Tag Manager tracking is not loaded by this release. Essential operational logs and browser storage remain in use. If optional measurement is enabled in future, we will explain the information and purposes and obtain consent where required by applicable law. Optional marketing permissions are separate from essential booking and service communications.

Private access tokens, customer contact details, payment proofs and financial records must not be sent to optional analytics tools.

9. Retention and deletion

Different information has different retention needs.

Class-linked payment screenshots

Class-linked images have an availability deadline of 24 hours after the class ends and are scheduled for removal from active storage. Physical cleanup may occur later because of technical failures or backlogs.

Removing these images does not remove the separate records needed for reconciliation, complaints or applicable legal obligations. Standalone pack or membership payment proofs may follow a separate schedule. Contact us promptly about a dispute or a request for records; do not assume a deleted screenshot can be recovered.

Booking and financial records

Removing a screenshot does not automatically remove booking status, payment-review history, credit records or invoices. Necessary records may be retained for service delivery, reconciliation, complaints, disputes and applicable legal obligations.

Technical logs and backups

Necessary logs and backup copies follow their applicable security, legal and provider-retention arrangements. Deleting an active record does not necessarily erase every backup immediately.

Copies held by Businesses

A Business may independently download or retain information. FLOWREN cannot promise to erase those copies remotely. Contact the Business about its own retention practices.

We do not retain information indefinitely merely because it is technically possible. Retention schedules must be reviewed against the purpose and applicable requirements.

10. Your requests and choices

You can contact us to:

  • Ask about information associated with you.
  • Request correction of inaccurate information.
  • Request access or deletion.
  • Withdraw consent where applicable.
  • Raise a privacy complaint.

Provide the relevant Business, account or booking reference and explain your request.

We may request proportionate information to verify that you are entitled to make the request. Do not send passwords, OTPs or full identity documents unless a justified, secure verification process specifically requires them.

We will explain any lawful reason for retaining information or any service consequence of withdrawing information necessary for the service.

11. Children’s information

Classes, academies and other Businesses may serve children even when the child does not create an account.

A parent or authorised guardian should make the necessary arrangements where the participant cannot act independently.

Businesses must provide appropriate notices and obtain permissions required for children’s information. FLOWREN must also meet its own applicable responsibilities.

Do not submit unnecessary identity, health or other sensitive records about a child. Contact us if you believe a child’s information was submitted improperly.

12. Security

FLOWREN uses reasonable safeguards appropriate to the information and service. These include controlling authorised access and investigating reported security concerns.

No online service can guarantee absolute security. Businesses and customers should protect credentials, private links and downloaded information.

Contact us promptly if you suspect unauthorised access or disclosure.

13. Policy changes

We will identify updated policies by their version and effective date and provide appropriate notice of material changes.

Where a change requires fresh consent or acceptance, we will request it. Continued use is not treated as blanket permission for unrelated new uses of personal information.

14. Privacy complaints

You may contact:
