1. About FLOWREN
FLOWREN provides software that helps businesses manage recurring payments, customer records and class or session bookings.
FLOWREN is a sole proprietorship owned and operated by C. Radhika, trading under the name FLOWREN.
Business address: New No. 252, Old No. 418-420, Ellaithottam Road, Peelamedu, Coimbatore, Tamil Nadu, India.
In these Terms:
- “FLOWREN”, “we” and “us” mean the operator of the platform.
- “Business” means a studio, academy, teacher, gym, property operator or other service provider using FLOWREN.
- “Customer” means a person booking or paying that Business through a FLOWREN page.
These Terms apply to the relevant services you accept or purchase through FLOWREN. Business accounts are also governed by the Business User Agreement.
2. Our products
Payment Tracking helps Businesses organise member records, recurring fees, payment proofs and related operations.
Booking helps Businesses publish sessions, manage availability, receive reservations, review payment proofs and display booking status.
Available features depend on the selected product, plan and Business configuration.
The Business provides the underlying class, membership, accommodation or other advertised service. FLOWREN provides the software used to manage it. Each remains responsible for its own services and obligations.
3. Eligibility and authorised use
A person entering a business subscription or another binding agreement must have legal capacity. Anyone accepting on behalf of a Business must be authorised to represent it.
Where a participant cannot enter the booking agreement independently, a parent or authorised guardian must make the necessary arrangements.
You must provide accurate information and have appropriate authority before submitting another person’s information.
4. Accounts and private links
Business users must protect their login credentials and give staff access only where needed.
Customers may book without creating a business account. Booking-status and pass links may provide access to associated information or functions. Keep these links private.
Contact FLOWREN promptly if you believe an account or private link has been accessed without permission.
You are responsible for activities you authorise. This does not remove FLOWREN’s responsibility for failures attributable to its own service.
5. Session details and prices
Before reserving or paying, check:
- The Business and payment recipient.
- The branch, venue, date and time.
- The number of participants and total price.
- Eligibility, admission and cancellation conditions.
- Any pass, introductory-offer or membership restrictions.
The Business is responsible for keeping its listings and service conditions accurate.
Prices and availability may change before a reservation is successfully created. Any revised quantity or price must be shown before you make a new commitment. An agreed booking price must not be silently increased after payment.
6. Group bookings, passes and memberships
Group bookings are available only where the Business enables them. The displayed participant limit applies, and the quantity includes the person making the booking if they are attending.
The total shown for the selected group applies to that reservation. A booking may be restricted to the quantity available within the current pricing tier.
Personal passes and introductory offers cannot automatically be used for a group.
Packs and memberships follow the validity, credit, eligibility and cancellation rules disclosed before purchase. Unused credits roll over only where expressly stated.
7. Reservations and booking confirmation
A temporary reservation holds capacity for a limited period and may expire.
Uploading payment proof submits evidence for review. It does not independently confirm that money reached the recipient.
“Seat Reserved” or “Payment Under Review” means the Business still needs to review the booking.
“Confirmed” means the Business has approved the booking through FLOWREN.
Rejection, expiry or cancellation may release reserved capacity. It does not automatically return money already transferred.
If money is debited but your booking is uncertain, contact the Business and FLOWREN support before paying again. Keep your payment reference and private status link.
8. Payments to FLOWREN and payments to Businesses
These are separate payment relationships.
Payments to FLOWREN: Businesses pay FLOWREN for software subscriptions and any separately agreed setup services. These payments may be collected through Razorpay or another provider identified at payment.
Payments to a Business: In the direct-UPI workflow, Customers pay the Business’s displayed payee using an external payment app. FLOWREN provides payment instructions, reservation records and proof-review functions. It does not receive that direct-UPI payment for onward settlement in this workflow.
Check the payee and amount before approving a transfer.
Never share a UPI PIN, OTP, bank password or full card credentials with FLOWREN, or include them in a proof upload.
9. FLOWREN subscriptions and setup fees
Before purchase, the checkout or accepted quote must identify the product, price, applicable taxes, service period, included features and any setup charge.
For new standard plans:
- One billing cycle is 30 consecutive days.
- Payment Tracking multi-cycle plans, where offered, cover 90 or 360 days.
- A 30-day cycle is different from a calendar month.
Any expressly agreed alternative applies to that purchase. Existing purchases retain the rights applicable when they were made.
Manual renewal requires a new payment. Automatic debits apply only where a recurring payment arrangement is separately disclosed and authorised.
For standard manual Booking renewals, the new period starts at the later of successful renewal processing or the existing paid expiry.
A three-day Booking grace period may be provided after expiry, as shown in the account. Grace access is temporary and does not change the paid billing period.
Setup fees cover the deliverables and completion stages stated in the accepted quote. Setup is included in a subscription price only where expressly stated.
10. Cancellation and refunds
Businesses may stop renewing their FLOWREN subscription. Paid access ordinarily continues until its stated expiry, subject to lawful suspension or termination.
Properly supplied prepaid access is generally not refundable merely because it is unused or the purchaser changes their mind.
This does not exclude appropriate remedies for duplicate payments, incorrect charges, unauthorised payments, services not supplied as agreed or other cases where applicable law requires a remedy.
If a recurring payment mandate exists, cancellation must also be processed through the applicable provider procedure and confirmed.
Studio or Business payments follow the cancellation and refund conditions disclosed for that underlying service, subject to applicable law. FLOWREN remains responsible for its own platform obligations.
A missing cancellation or refund button does not remove a right to request help or a remedy.
Further details are provided in the Refund and Cancellation Policy.
11. Data and records
The Privacy Policy explains how information is collected, used, shared and retained.
Businesses must obtain customer information lawfully and provide appropriate notices and permissions.
Removing completed classes from active screens does not delete their financial history. Payment screenshots, booking records, invoices, credit ledgers and security logs may have different retention periods.
Contact support for available access, export, correction, deletion or account-closure assistance.
12. Ownership and acceptable use
Businesses retain their rights in their records, logos and lawful content. They permit FLOWREN to use this material as necessary to provide, secure and support the service and meet legal obligations.
FLOWREN retains its rights in its software and platform materials.
Do not use FLOWREN for fraud, fabricated payment evidence, misleading listings, unauthorised messaging, harmful uploads, credential sharing that bypasses controls, scraping of private information, interference with capacity/pricing or access to another Business’s data.
Public use of a Business’s logo or testimonial as an endorsement requires appropriate permission.
13. Availability and responsibility
Maintenance, connectivity problems and third-party failures may interrupt the service. FLOWREN does not guarantee uninterrupted availability or absolute security.
We will take reasonable steps to investigate reported platform faults and provide appropriate assistance.
Each party remains responsible for its own breach and misconduct. Any exclusion of indirect or consequential loss applies only where permitted by law.
Nothing in these Terms excludes fraud, wilful misconduct or duties and remedies that cannot lawfully be excluded.
14. Suspension and termination
FLOWREN may restrict access where reasonably necessary for non-payment, unlawful use, a material breach or a security threat.
Where feasible and appropriate, we will explain the reason and allow correction. Urgent protective restrictions may precede notice.
Restrictions must not be used to evade required refunds, complaints handling or lawful record access.
On closure, records are retained or deleted under the Privacy Policy and applicable obligations; closure is not a promise of immediate erasure.
15. Changes and disputes
Material changes will receive appropriate notice. New prices apply prospectively to new purchases/renewals after disclosure. Existing paid periods are not retrospectively shortened by changing this page.
Renewed acceptance or consent will be requested where required.
Indian law governs these Terms, subject to mandatory protections that apply to a transaction. Contact support first so we can try to resolve the issue. Courts and statutory forums with lawful jurisdiction remain available; nothing here forces a consumer to give up a competent consumer forum or another non-excludable remedy.
