Business User Agreement

Version: 2026-10-17 · Effective date: 2026-10-17

1. Parties and scope

This Agreement is between:

FLOWREN, a sole proprietorship owned and operated by C. Radhika; and

The Business identified in the accepted subscription, quote or onboarding record.

FLOWREN is a sole proprietorship owned and operated by C. Radhika, trading under the name FLOWREN.

FLOWREN’s business address: New No. 252, Old No. 418-420, Ellaithottam Road, Peelamedu, Coimbatore, Tamil Nadu, India.

It governs the Business’s use of FLOWREN Payment Tracking, Booking and related services.

The person accepting for the Business confirms that they have legal capacity and authority to represent it.

2. Related documents

This Agreement works together with:

An accepted quote governs its expressly agreed price, deliverables and service period. It does not silently override privacy obligations, mandatory legal protections or unrelated parts of these policies.

Any material inconsistency must be clarified before purchase. Existing paid entitlements cannot be retrospectively reduced merely by updating a policy page.

3. What FLOWREN provides

FLOWREN provides software for the selected product and configured features.

Payment Tracking supports member records, recurring fees, payment-proof review and related business administration.

Booking supports published sessions, reservations, capacity management, payment-proof review, booking status and enabled pass or membership functions.

Availability depends on the purchased plan and Business configuration. A feature is included only where expressly offered.

FLOWREN provides the software. The Business provides its underlying classes, memberships, accommodation or other services.

4. Business information and account access

The Business must:

  • Supply accurate ownership, contact and billing information.
  • Keep its account and operational settings reasonably up to date.
  • Protect credentials and private links.
  • Give staff access only where necessary.
  • Remove access when a staff member no longer needs it.
  • Report suspected unauthorised access promptly.

The Business must not access another Business’s records or share credentials to bypass permission controls.

FLOWREN remains responsible for its own access controls and service obligations.

5. Listings, prices and customer conditions

The Business is responsible for the accuracy of its:

  • Public name and contact information.
  • Branches, locations, tutors and schedules.
  • Capacity and booking limits.
  • Prices, pricing tiers and participant quantities.
  • UPI payee details.
  • Admission, eligibility and safety requirements.
  • Cancellation, rescheduling and refund conditions.

These details must be clear before a Customer commits to a purchase.

For group bookings, the Business must accurately state the allowed group size and total price. It must not silently increase an agreed amount after payment.

Passes and memberships must disclose their validity, credit rules, eligibility, expiry and any rollover conditions.

The Business must obtain permissions necessary to provide its underlying services and use any uploaded content.

6. Reservations and payment review

A temporary hold is not final booking approval. Submitted payment proof requires review.

The Business must check payment evidence against the receiving account and make approval or rejection decisions responsibly.

A rejection, expired reservation or cancelled booking does not automatically return money.

Where a genuine payment was received but no booking or service can be supplied, the Business must reconcile the payment and arrange the appropriate remedy under the accepted terms and applicable law.

The Business must not require another payment merely to resolve an uncertain platform status.

FLOWREN must maintain and communicate booking records accurately within its service responsibilities and assist with reported platform discrepancies.

7. Separate payment responsibilities

FLOWREN fees

The Business pays FLOWREN for software access and any separately agreed setup services.

The accepted checkout or quote must state the product, price, service period, applicable taxes, setup scope and renewal method.

Standard fixed periods are 30 days, with Payment Tracking bundles of 90 or 360 days where offered. Any expressly agreed exception must be recorded before purchase.

Manual renewal requires another payment. Recurring debits require a separately disclosed and authorised payment arrangement.

Customer payments

In the direct-UPI workflow, Customers pay the Business’s displayed payee. The Business is responsible for checking receipts, supplying its service and issuing any required customer payment document.

FLOWREN’s invoice for its software is separate from the Business’s receipt or invoice for a class or other underlying service.

Neither party may use this separation to avoid its own legal obligations.

8. Cancellations and refunds

FLOWREN subscription and setup cancellations follow the Refund and Cancellation Policy and any applicable accepted quote.

Cancelling future continuation ordinarily leaves paid access available until its expiry, subject to lawful restrictions for breach or security reasons.

Where a recurring payment mandate exists, the relevant cancellation procedure must also be completed and confirmed.

The Business must publish and follow lawful customer cancellation and refund conditions. A missing self-service feature does not remove a Customer’s right to request assistance or a remedy.

Returning a pass credit is different from returning money and must be described accurately.

9. Customer information and processing instructions

The Business must have an appropriate lawful basis for the information it enters, imports or asks FLOWREN to process.

It must provide required notices and obtain necessary permissions, including for children’s information and information supplied about other participants.

FLOWREN processes Business-directed records to provide the selected functions, including member administration, booking, payment review, attendance and entitlement management.

These records may include names, contact details, operational entries, booking information, payment references, screenshots and pass or credit records.

The Business must give lawful and proportionate instructions. FLOWREN must process these records for the agreed purposes and documented instructions, except where applicable law requires otherwise.

The Business’s instructions do not remove FLOWREN’s independent responsibilities.

10. Confidentiality, providers and security

Each party must protect confidential information received through the service and limit access to people who need it for an authorised purpose.

FLOWREN may use necessary service providers for hosting, storage, authentication, payments, email and other disclosed functions. Provider use and international processing must follow the applicable contractual and legal safeguards.

Neither party may sell customer records or use them for unrelated marketing without an appropriate lawful basis.

The parties must cooperate in investigating relevant security incidents and notify each other without undue delay when necessary. Each remains responsible for any applicable reporting deadline.

No absolute-security or uninterrupted-availability guarantee is made.

11. Privacy requests, retention and exit

The parties must cooperate on appropriate access, correction, deletion and complaint requests.

Payment screenshots, booking history, invoices, credit ledgers, security logs and backups can have different retention requirements.

Removing a completed class from an active screen does not authorise deleting required financial records.

The Business must also control copies downloaded or retained independently by its staff.

On account closure, contact FLOWREN to arrange available record-access or export assistance. FLOWREN will explain the available format, process and relevant limitations.

Deletion must follow the applicable retention schedule and legal obligations. Closure does not mean immediate erasure of every record or backup.

12. Ownership and permitted use

The Business retains its rights in its lawful records, branding and content.

It grants FLOWREN the limited permission needed to provide, secure and support the service and meet legal obligations.

FLOWREN retains its rights in its software and platform materials.

This Agreement does not automatically authorise either party to publish the other’s logo, customer list or testimonial as an endorsement.

Fraudulent proofs, misleading listings, unlawful messaging, harmful uploads, unauthorised access and interference with bookings or pricing are prohibited.

13. Support, restrictions and responsibility

Report platform problems promptly using the contact details below.

FLOWREN may apply reasonable restrictions for non-payment, material breach, unlawful activity or security threats. Where feasible and appropriate, it will explain the reason and allow correction.

Restrictions must not be used to avoid required refunds, complaint handling or lawful record-access obligations.

Each party remains responsible for its own breach and misconduct. Any lawful limitation of liability does not remove fraud, wilful misconduct or duties and remedies that cannot be excluded.

14. Changes and acceptance

Material changes will receive appropriate notice and apply prospectively. Renewed acceptance will be requested where required.

Acceptance must be an affirmative action by an authorised representative of the Business. You may request a copy of the applicable document version from FLOWREN. Publishing a revised page does not itself establish that an existing Business accepted the revision.

Acknowledging the Privacy Policy is not blanket consent to unrelated processing or optional marketing.

Indian law governs this Agreement, subject to mandatory protections applicable to the transaction. Competent courts and statutory forums remain available.
